ROLE PURPOSE

The Human Resources Advisor will be accountable for delivering an effective and efficient Human Resources service to the business, by supporting the relevant HR Business Manager and HR Administrator in enabling the achievement of both operational and HR objectives.

They will be responsible for providing advice and administration support across the full range of HR activities, working collaboratively with Managers and colleagues to promote best practice and to ensure fair and consistent application of policy, procedure, and process across all businesses.

PRINCIPAL RESPONSIBILITIES

Recruitment, Selection, Onboarding and Induction

  • Engaging with Managers to support the delivery of HR activities relating to recruitment, selection, onboarding, and induction in adherence with best practice and legal requirements.
  • Providing support and guidance to Managers ensuring that the recruitment journey is pro-actively managed including making offers of employment, drafting employment contracts and follow up due diligence is obtained.
  • Working alongside the HR Administrator to ensure that the recruitment tracking process is maintained and kept up to date at all times, including liaising with external providers, updating of the Employer Portal, providing feedback to unsuccessful applicants and ensuring all RTW documentation is validated, and DBS checks are up to date.
  • Where appropriate to the level and complexity of the recruitment, supporting managers in conducting interviews and/ or providing interview coaching to stakeholders.
  • Overseeing processes, to support the HR Business Manager including new hires, probations, promotions, transfers, onboarding processes and induction are carried out in accordance with internal service level agreements and are appropriately documented.
  • Covering the HR Administrator role when they are absent from the business.

Stakeholder Partnership

  • Working with stakeholders to ensure operational goals are delivered through the effective performance management of their people.
  • Acting as the main HR point of contact in the absence of the HR Business Manager, focusing on ensuring questions and queries are dealt with (or directed to an appropriate solution) in a timely and efficient manner.
  • Providing HR advice and guidance in relation to the interpretation and or application of HR policies, procedures, and processes and/ or statutory requirements to the business.
  • Assisting with the management of employee relations issues (discipline, capability, grievance, and sickness and absence management) as well as providing coaching and support to colleagues in relation to procedural HR matters and well-being.
  • Where appropriate to the level and complexity of the case, the HR Advisor may be required to conduct investigations or provide procedural advice during formal hearings.
  • Ensuring the HR ER Tracking tool is always kept up to date with all case management issues.
  • Developing and maintaining good relations (formal and informal) with the recognised trade unions.
  • Covering all HR administration for the team, and covering the HR Support and Jobs inbox in the absence of the HR administrator.

Operational delivery

  • Supporting the delivery of the annual remuneration process, working closely with the HR Business Manager, and the payroll team.
  • Dealing with compensation and benefits related matters as requested by their business areas .
  • Assisting the Business Manager will the development of effective workforce planning and organisational design, including any restructuring and organisational changes.
  • Supporting the implementation of effective absence management tools and strategies to reduce unnecessary costs
  • Ensuring leaver processes are managed effectively, that exit interviews are conducted and trends and patterns related to leavers are addressed with appropriate stakeholders.

Process delivery and enhancement

  • Ensuring all HR processes, policies and procedures are working correctly and proactively identifying and assisting with the implementation of improvements to ensure that HR processes, policies and procedures are fit for purpose.
  • Supporting the HR Business Manager with the regular review of the Employee Guidance Handbook and other HR related policies and procedures are in conjunction with other appropriate stakeholders.
  • Supporting the HR Business Manager with development and updating of the HR template suite.

Reporting

  • Supporting the HR Business Manager in the creation and delivery of monthly HR key performance indicators and supporting designated business areas(s) with taking actionable steps to address areas of concern.
  • Supporting the HR Business Manager in the creation and implementation of Employee engagement surveys, interpreting results, identifying solutions to address gaps and working with stakeholders to determine actionable steps.
  • Identify trends and opportunities within case management analysis with a solution focused approach.

Project delivery/ Change Management

  • Working with other project teams across the business for the successful delivery of change initiatives, including systems implementation, in collaboration with the CPO and Head of HR, and as designated by the HR Business Manager.
  • Supporting the implementation of plans to embed the Society’s values and promote belonging, equality, and diversity as part of the culture of the Society.

Other duties

  • Carrying out any other duties and responsibilities commensurate with the role as required.

PERSON SPECIFICATION

Qualifications and Professional Memberships:

  • Knowledge of Human Resources acquired through a professional HR qualification.
  • CIPD qualification or equivalent (ideally level 3 or above).

Previous Work Experience:

  • Must be an experienced HR generalist with experience of working at HR Adviser level previously.
  • Will have at least 3+ years’ relevant HR experience.
  • Will have a strong track record of dealing with a wide variety of employment relations matters and be confident in dealing with Disciplinary, Grievance and Capability, and Attendance Management cases.

Technical Competence and Knowledge

  • Must have strong interpersonal skills and the ability to build effective collaborative working relationships with various stakeholders across all areas of the business.
  • Will have a practical working knowledge of Employment, Discrimination, Data protection and other relevant laws and legislation, regulatory requirements for both Jersey and Guernsey.
  • Will show a high degree of professionalism, understanding the need for confidentiality and discretion.
  • Will have good time management, strong organisational skills and be able to manage multiple tasks.
  • Must demonstrate personal accountability, a proactive approach to work and strong work ethic.
  • Must be focused on delivering high levels of service to the organisation.
  • Should have sound knowledge in a broad range of HR processes, previous experience of process improvement and project management.
  • Will be confident in problem solving and persuading and influencing where appropriate.
  • Must be a professional, credible, and confident communicator (both verbal and written).
  • Must have strong skills in Microsoft Office package and previous experience of HR systems.
